Working closely with the Convening and Engagement Lead, Event Planner and colleagues across Learning and Impact, Communications, and Programmes, the Stakeholder and Convening Specialist supports end to end convening delivery. The role contributes to effective engagement and learning outcomes by coordinating event preparation, supporting facilitation, maintaining strong communication with participants, and ensuring insights and actions are captured and followed up consistently.
The role reports to the Convening and Engagement Lead and is a full‑time position (38 hours), based in Leiden, the Netherlands.
Responsibilities
- Convening design and programme support: Support Convening and Engagement Lead in translating convening objectives into agendas, session designs, materials, and facilitation plans that enable meaningful engagement and action.
- Convening coordination and delivery: Coordinate end to end preparation, delivery, and follow through for external convenings, managing timelines, materials, and logistics to ensure smooth and well run events.
- Participant and stakeholder engagement: Act as a point of contact for participants, speakers, and facilitators. Ensure reliable reporting preparation, briefings, and clear communication before, during, and after convenings.
- Documentation, learning and follow through: Capture notes, insights, and agreed actions, and support post convening summaries in collaboration with the Learning & Impact, Communications, and Programmes teams.
- Quality and practice improvement: Apply shared convening tools and standards consistently and contribute feedback and insights to continuously improve convening design and delivery across the Foundation.
- Facilitation: Facilitate events/sessions using inclusive, participatory approaches that ensure all voices are heard.
